Privacy Policy
1. Two roles we play
We handle personal information in two different capacities, and the difference matters for your rights:
- As the business responsible for our own records. Information about the companies that subscribe to Areaviser and the people who use it — names, work email addresses, phone numbers, billing details, support correspondence.
- As a service provider to our customers. Information a subscribing company puts into the platform about its own customers, jobs and staff. We process that data on that company’s instructions, for the purpose of running the platform. If you are the customer of a company that uses Areaviser and want your records corrected or removed, contact that company first — they control the account.
2. Information we collect
- Account information — company name, business address, user names, work email addresses and phone numbers, role and permissions.
- Billing information — plan, seat count, invoices, and payment metadata such as the brand and last four digits of the card. Full card numbers are handled by our payment processor, not by us.
- Operational data you enter — customers and service locations, equipment, jobs, notes, photos and documents, estimates and invoices.
- Location data — when a technician uses the mobile app during a shift, the app may report device location so dispatch can build routes and share arrival estimates. This is a work feature configured by the employer.
- Usage and device data — log records such as IP address, device and browser type, pages and actions, timestamps and error traces.
- Communications — messages you send us, and records of texts and emails sent through the platform to your customers.
3. Why we use it
- To provide, secure and support the platform, and to authenticate users.
- To bill subscriptions and to collect unpaid fees.
- To send service messages: receipts, security alerts, and material changes.
- To investigate abuse, fraud and violations of our terms.
- To diagnose faults and improve reliability and performance.
- To meet legal, tax and accounting obligations.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
4. Marketing messages
We may email business contacts about product news and offers. Every such email carries an unsubscribe link, and opting out does not affect service messages you need to receive while your account is active.
5. Who we share information with
We use a small number of vendors as subprocessors. Each is bound to process data only for the service it provides to us:
- Moov Financial, Inc. — payment processing, merchant onboarding and identity verification.
- Twilio Inc. — telephone numbers, text messages and call handling.
- Mapbox, Inc. — geocoding of addresses and route directions.
- Railway Corp. — application hosting, managed database and backups.
- TODO: email delivery provider — transactional email such as invoices and password resets.
We also disclose information when the law requires it, to protect our rights or someone’s safety, and to a buyer or successor in a merger or sale — in which case we will say so before your data becomes subject to a different policy.
6. Cookies and similar technologies
This marketing site sets no advertising or analytics cookies. The Areaviserapplication uses strictly necessary cookies and local storage to keep you signed in and to remember interface preferences. If we add analytics, this section and the notice on the site will be updated first.
7. How long we keep it
Account and operational data is kept while the account is active. After termination it is available for export for 30 days and then deleted or anonymised within a further 90 days, except where longer retention is required for tax, accounting, dispute or legal-hold reasons. Backups roll off on their own schedule.
8. Security
Traffic between the apps and our servers is encrypted with TLS. Access to production systems is limited to staff who need it and is authenticated individually. Each subscribing company is a separate tenant, and inside a tenant access follows the user’s role. Passwords are stored only as salted hashes. No system is immune to compromise, so we also keep logs and an incident procedure, and will notify affected customers as the law requires.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to certain processing, and not to be discriminated against for exercising those rights. Write to [email protected] and we will respond within the period the applicable law allows. We may need to verify your identity first, and we may direct requests about a subscribing company’s customer records to that company.
10. Children
The platform is a business tool and is not directed at children under 16. We do not knowingly collect their personal information.
11. Where data is processed
TODO: confirm the hosting region and name it here. Data may be processed in the United States by us and by the vendors listed in section 5. Where information is transferred out of your country, we rely on the safeguards our vendors provide.
12. Changes to this policy
If we change this policy materially we will post the new version here and notify account owners by email or in the application before it takes effect.
